E-mail notifications are sent to Hospital/Rotation Coordinators, Teachers, and Learners to notify them of evaluations they need to complete.
To access the contents of the e-mail notifications select “Manage Forms“, and then “E-mail/Reminder Content” from the main menu.
Any of the content can be edited. A list of tags can be found at the top of the edit screen. Tags can be placed anywhere in the e-mail body or title line; when generating the e-mail the system will automatically insert the actual values. For example, for the tag,<Department_Name>, the system will display the program the learner was registered in during the time of the rotation.
This is an example of the initial e-mail sent to a supervisor assigned to a learner’s evaluation.
To the supervisor the email header would appear as:
This translates to: A learner’s evaluation needs to be completed for John Smith, a radiation oncology trainee, and the evaluation is for his rotation that ended on 30-May-10.
Note: the supervisor’s pin and password will be displayed in the body of the email notification as the PIN and password tags are inserted in the body of the text.
