Paper Evaluation

The paper evaluation function allows program directors and administration/base hospital/hospital coordinators to enter evaluations online on behalf of teachers who completed their learner evaluations on paper.  This may occur for two reasons:

  1. The teacher is not a POWER user and does not have access to online evaluations.  For example, teachers who are located overseas.
  2. Teachers who are unable or choose not to complete their evaluations electronically.

In both cases, the teacher is sent a blank hardcopy of the learner’s evaluation form to complete manually. Note that the blank evaluation form sent must be the same as the form used in POWER. When the administrator receives the completed paper evaluation, he/she can then enter the evaluation online.  Once the form has been entered online it will be included in the appropriate learner evaluation reports.

Note: The Paper Evaluation function should only be used to input information electronically from a paper copy.  Electronic  completion of evaluations should be done using the Trainee Eval function.

To access the paper evaluation function, from the menu options click “Paper Evaluation” and then “Trainee Evaluation“.

On the Paper Trainee Evaluation screen change the “View” parameter to “Outstanding” to view only outstanding evaluations. Select any other criteria you require from the top of the screen and click “Search”.  Once you find the evaluation you require click the yellow “New!” icon to begin the evaluation process.

For teachers whom are not POWER users, enter his/her name in the text boxes provided.  The system automatically adds that teacher under manage users with “Teacher (One Time Use)” status. This does not give the teacher any POWER access. Such teachers are not evaluated online by the learner; the teaching evaluation can be marked as “not required” for the rotation. This would be done under the resident info section.  

Click “Continue” to access the evaluation form and begin entering the answers on behalf of the teacher.

For teachers whom are POWER users, click on the “+Add” button next to “Teacher:”  Make your selection from the drop down menu and then search for the teacher’s name.  Click the small box next to their name and then click “Select” at the bottom of the pop-up window. Click “Continue” to access the evaluation form and begin entering the answers on behalf of the teacher.

To save your answers and continue at a later time, click “Save“. When the form has been completed, click “Submit“.

Under the “Email/Paper” heading “On Paper” will appear. If you place your cursor over “On Paper” the system will display the name of the person who completed the form.  You can view the date the form was submitted under the “Compl Date” heading and the teacher’s name appears under the “Teacher” heading.  The form appears in ‘…Finish’ status meaning it has been submitted and sent to the learner’s POWER screen and is then waiting to be reviewed by the learner.

Once the learner submits the evaluation it will then display a green thumbs up if the learner agreed with it or a red thumbs down if he/she disagreed with the evaluation.  Click the magnifying glass to view or print the form.

Note: On the ‘Assign Supervisor’ screen evaluations completed via the paper evaluation function will state “Not Present” in the email date field.
